Cowes Enterprise College is committed to giving our students the best education available to them and to continue to raise our standards, this can only be achieved through regular attendance.

Academy daily procedures

The academy will take the attendance register at the start of the first session of each academy day at 8.30am, and once during the second session in the afternoon. Students will not be marked present if they were not in during the period when the register is open.

Students are expected to enter the academy prior to 8.25am.

Any student arriving to their tutor classroom after 8.30am will be marked as late and a text will be sent to parents to inform them.

The register closes at 9.00am. Students arriving this time will be marked as unauthorized late, meaning an unauthorized absence is recorded as a result of the students having missed the legal registration period.

Reporting an absence

It is the responsibility of parents to inform the academy of a student absence.

To report a student absence, parents should telephone the academy on 01983 203103 and select Option 1 to leave a message on the student absence line before 8.30am.  In this message, parents should leave details of the reason for absence and when their child will be returning to the academy. In line with safeguarding procedures, a call must be made at the start of each day of absence.

Parents are required to send a letter of explanation of absence when their child returns to school. This should be delivered to reception.

Term time absence

We require parents to observe the term times of the academy, and the academy will only authorise leave of absence during term time in exceptional circumstances.

Any requests for leave during term time will be considered on an individual basis and the student’s previous attendance record will be considered. The academy does not have the discretion to authorise holidays taken during term time.

If the academy grants a leave request we will determine the length of time that the student can be away from the academy. If term time absence is not granted, taking a student out of the academy will be recorded as an unauthorized absence and may attract sanctions such as a penalty notice.

If you wish to apply for a leave of absence for your child in term time, you will need to complete an 'Application for Leave of Absence' form and return it to the school office no later than 14 days before the requested date.

School Closures – Inclement Weather and Other Emergencies

In the case of inclement weather, any decision to close the academy will be taken as early as possible. The principal will consult with our site team 6.30am and make a decision about whether to open the academy. Our priority is always the safety of our students and staff. Each academy closure will be logged daily after reassessment of site conditions and surrounding areas and the supervision of students.

Emergency closures outside of the school day (e.g. inclement weather closures)

Once a decision has been made to close the academy the following actions will take place. A text alert will be sent to parents/carers via the number we have on the system for you. Please be aware that this may not be reliable at times of high demand on mobile network as demand may be greater. The closure will be published on our main academy website as well as our Facebook and Twitter pages.

As well as the above the closure will be announced and broadcast by local media organisations such as the Isle of Wight County Press, Isle of Wight Radio and Island Echo. It will also be published on the Isle of Wight Council’s website.

Please do not telephone the school as we will need to keep the telephone lines clear.

Emergency closures within the school day

If the academy has to be closed during the school day, we will contact parents/carers as soon as possible to inform them of the closure. This will take place through text alerts as well as notices on our website and social media. Local media organisations will also publish this information.

Decisions to close the academy

When considering school closures our main priority is always the safety of our students and staff. Please be mindful that all schools are different and can be affected by situations in different ways, including depending on whether students can travel to school by bus and travel conditions for staff.

It is important that we have the correct contact details for you on our system, so you can be kept up to date in such situations. To update your contact details with us please email the academy on [email protected].
